When Should Your Business Use One-Off or Scheduled Document Shredding?
If your business has confidential paperwork to dispose of, the next question is often: should you arrange a one-off collection, or set up regular shredding?
The right option depends on how much paper you generate, how often it builds up and how securely you can store it until collection. Some businesses need a clean-out every now and then. Others handle sensitive documents every day and benefit from making shredding part of the regular routine.
Here’s a simple way to decide what may suit your business.
When one-off shredding makes sense
A one-off service is a good fit when you have a specific batch of documents to destroy, rather than a steady flow of paper throughout the year.
You might arrange a one-off collection when you are:
- Clearing out an archive room, filing cabinets or storage area
- Moving, renovating or closing a business
- Sorting paperwork after a scanning or digitisation project
- Dealing with a backlog of documents that have piled up
- Disposing of records following an authorised retention review
It can also suit a small business that generates very little confidential paper and has a secure way to store it in the meantime. We can collect individual documents or archive boxes, so you don’t need to move every page into a separate bin first.
One-off shredding is flexible: you arrange a collection when you need it, without setting a recurring schedule. But if documents keep accumulating between collections, it may be worth considering a regular service instead.

When scheduled shredding is a better fit
If your team regularly handles customer, staff, financial, health, legal or business-sensitive information, documents may be ready for secure disposal throughout the year. A scheduled collection gives your team a consistent way to deal with them.
With a secure bin on site, staff can place unwanted paperwork in one designated, locked container. That helps avoid documents sitting in an open box, beside a printer or in general recycling while everyone tries to work out what to do with them.
Scheduled shredding may suit you if:
- Your business produces confidential paperwork most weeks
- Documents tend to build up between one-off collections
- You want a simple, repeatable process for staff to follow
- You would like to keep paperwork from taking over office storage
- You need a regular record of secure destruction
We offer flexible collection arrangements, including weekly, fortnightly, monthly, quarterly and on-demand options. The best fit depends on your document volume and how long you’re comfortable storing documents before collection. There’s no single schedule that suits every business.
How to choose a collection frequency
Start by looking at how quickly your secure bin fills. If it regularly gets close to full before collection, or documents end up waiting elsewhere, you may need collections more often. If there’s little in the bin each time, a less frequent arrangement could be more practical.
As a starting point:
- Weekly or fortnightly may work for businesses with a high volume of confidential paperwork.
- Monthly can suit businesses that generate sensitive documents steadily, but in smaller quantities.
- Quarterly or on-demand may suit lower-volume businesses with secure storage and less frequent disposal needs.
These are simply practical starting points, not legal requirements. Consider the sensitivity of the information, how many people use the bin and whether your current storage process is working. You can review your arrangement as your business changes.
Not sure how many bins you need or how often we should visit? We’re happy to talk it through. Proshred provides durable, lockable bins in 120-litre and 240-litre sizes, and we can help you work out an arrangement that fits your site and the amount of paper you handle.
You can use both options
It doesn’t have to be one or the other. Some businesses use scheduled collections for day-to-day paperwork and arrange a separate one-off collection when a big clean-out creates extra volume.
For example, a monthly collection might manage ordinary office paperwork, while a one-off archive collection takes care of older boxes following a records review. Combining the two can be a practical way to keep routine disposal manageable without letting a larger backlog linger.

Remember to check retention requirements first
Secure shredding is for records your business is authorised to dispose of. Don’t assume paperwork can be destroyed simply because it’s old or taking up space. Retention requirements vary depending on the record type and your industry, and documents may need to be kept for legal, tax, contractual or other reasons.
The OAIC’s guidance on Australian Privacy Principle 11 explains that organisations covered by the Australian Privacy Principles must take reasonable steps to protect personal information. It also says organisations should take reasonable steps to destroy or de-identify personal information when it is no longer needed for a permitted purpose, unless an exception applies.
Before arranging a clear-out, check your retention schedule and confirm the documents are approved for destruction. If you’re unsure, ask your legal, privacy or records adviser. This article is general information, not legal advice.
What to look for in a shredding service
Whether you choose a one-off or scheduled service, ask how your documents are protected from collection through to destruction. A secure process should include controlled handling, secure transport and irreversible destruction. It’s also helpful to receive a certificate confirming the work has been completed.
At Proshred, our bins remain locked and are only opened at the time of destruction. Documents are transported in GPS-tracked vehicles and destroyed at our restricted-access facility under surveillance, using SCEC-approved equipment. We issue a Certificate of Destruction after the documents are shredded, and the paper is recycled once it has been rendered unrecognisable.

One-off or scheduled: a quick check
A one-off collection may be right if you have a defined clean-out, a backlog or only occasional paperwork to destroy.
A scheduled service may be a better fit if confidential paper is generated regularly and you want a consistent, convenient way to manage it.
And if you need both, that’s fine too. The important thing is to have a secure place for documents while they’re waiting to be collected, and to make sure they’re cleared for destruction first.
